Courtbrack Community Association Terms and Conditions

1. General Commitment

Courtbrack Community Association is committed to developing and maintaining Courtbrack Community Centre as an important community facility.

2. Booking and Usage

2.1. Rooms will only be available from the time they are booked. If hirers arrive early, access to the meeting room or hall may not be available.
2.2. When booking, please allow time for setup, overruns, and ensure your event ends and the room is cleared by the finish time on your booking form.
2.3. Booking times are typically between 9:00 AM and 10:00 PM. Hirers may only use the rooms for the stated purpose.

3. Extended Use and Compliance

3.1. If your event extends past the agreed finish time, the Centre will try to accommodate you. However, if the Centre requests that you vacate (e.g., for a subsequent hirer), you must comply immediately.

4. Capacity and Safety

4.1. Ensure the maximum capacity of each room is not exceeded.
4.2. Report any accidents, incidents, or damage immediately to the Committee, which will log it in the Accident/Incident Book.

5. Time Overruns and Charges

5.1. Serious overruns will incur additional charges.

6. Sub-Licensing and Public Area Use

6.1. Sub-licensing or sharing of the meeting room or hall requires prior Committee consent.
6.2. Public areas of the premises may not be used for guest registration or signage without written management approval.

7. Endorsement and Logo Usage

7.1. Use of the Centre does not imply any endorsement by the Community Association, and none should be claimed.
7.2. The Community Association logo may not be used without prior written approval.

8. Smoking and Rubbish

8.1. Smoking or vaping is prohibited within the building and near any access door.
8.2. Groups are responsible for removing their rubbish in line with the Centre’s recycling policy.

9. Supervision and Children

9.1. The group leader must sign in and be present before the start of the event.
9.2. Children must not be left unattended at the Centre.

10. Exclusive Use and Rights

10.1. No group or individual has exclusive rights to any room unless agreed by the Association.
10.2. The Community Association may withdraw or refuse room hire with reasonable cause.

11. Booking Cancellations

11.1. The Community Association reserves the right to cancel bookings for scheduling conflicts or unforeseen events, with at least three days' notice.

12. Main Hall Usage

12.1. When playing ball sports in the Main Hall, keep the ball below window ledges. Any damage caused to lights, windows, etc., will be invoiced to the user group for repair costs.

13. Liability for Damages

13.1. Hirers are liable for any damages to the facility and contents caused by their group. Payment for repairs must be made upon receiving an invoice.

14. Alcohol and Noise Restrictions

14.1. The Community Association does not permit alcohol sales on the premises.
14.2. Music at events must end by 11:00 PM due to residential area considerations.

15. Payment and Deposits

15.1. Room hire must be paid for prior to or at the time of use.
15.2. A 30% or €100 deposit (whichever is higher) is required for local groups booking five or more weeks. For groups outside the area, a 50% or €200 deposit applies. Deposits are refundable provided no damage occurs.
15.3. Security deposits of €100 are required for private functions and refundable if no damage occurs.
15.4. Venue hire and other charges are reviewed annually in June.

16. Cancellations by Hirers

16.1. Cancellations must be made at least 24 hours in advance; otherwise, the full hire fee will apply.

17. Prompt Room Vacating

17.1. Rooms must be vacated at the end of the booking to allow for other users. Multiple groups may use the Centre simultaneously, and preparation may be required for subsequent bookings.

18. Catering and Hygiene

18.1. If providing food or beverages, ensure adherence to food safety and hygiene standards. The Community Association is not responsible for any breaches of food hygiene regulations.

19. Confirmation of Booking

19.1. Groups will receive a copy of the Terms and Conditions, Room Hire Rates, and Room Availability details upon booking.
19.2. Payment for one-off or regular bookings is due on or before the day of hire. Regular daily users must pay by the Friday of the current week.

20. Equipment Use

20.1. Rooms must be cleared of any equipment or personal items after each session unless otherwise arranged. The Association is not responsible for unattended items.
20.2. Deposits are required for hiring Centre equipment and are refundable upon return of undamaged items.

21. Premises Condition

21.1. Hirers must leave the facility as they found it and report any maintenance issues to the Caretaker or Committee.
21.2. Personal property and equipment left without prior permission are at the owner’s risk; the Association is not liable for loss or theft.

22. Health and Safety

22.1. Hirers must comply with the Centre’s security, fire, and health and safety regulations. Familiarize yourself with posted fire exits and routes, which must remain unobstructed.
22.2. Groups working with children under 18 must follow Irish child protection laws. The Centre requires a copy of each group’s Child Protection Procedures for groups involving minors.

23. Insurance and Indemnity

23.1. Groups hiring rooms must have their own insurance and provide a copy of the policy. The Centre must be indemnified against any claims related to the rental.

24. Complaints and Claims

24.1. Any complaints prior to or during your use of the building must be submitted in writing.

25. Accessibility

25.1. The Community Centre building is wheelchair accessible.

26. COVID-19 Compliance

26.1. Hirers must follow current public health guidelines related to COVID-19. The Community Association reserves the right to cancel bookings if stricter public health measures are imposed.

27. Agreement to Terms

27.1. By using the Centre, hirers agree to abide by all terms, policies, and housekeeping rules of the Courtbrack Community Association. Non-compliance may result in withdrawal of Centre access.
27.2. The Community Association reserves the right to refuse admission.
